Statistics & Reports

The Statistics dashboard gives you an at-a-glance overview of your entire asset inventory — total counts, assignment rates, license health, and department-level breakdowns — without having to export data or write queries. It is available in both Cloud and Local mode from the Statistics section in the sidebar.

Asset Overview

The top section of the dashboard shows your workspace totals at a glance:

  • Total assets: The count of all active records across every asset type in your workspace.
  • Assigned vs. unassigned: How many assets are currently assigned to an employee, versus sitting unassigned in inventory. Unassigned assets are highlighted so you can identify idle equipment quickly.
  • Asset types: A breakdown by type (Laptop, Monitor, Mobile Device, etc.) showing each type's share of the total.

License Health

If your workspace includes licensed assets or subscriptions, the Statistics dashboard surfaces license status at a glance:

  • Active licenses: Licenses that are current and valid.
  • Expiring soon: Licenses expiring within the next 30 days. These are shown with a warning so you can act before renewal deadlines.
  • Expired: Licenses that have already passed their end date. Expired licenses stay visible in the dashboard so you can decide whether to renew or archive them.

License data is only visible in this section if your asset types include date fields configured for license tracking. You configure these fields in Activos → Asset Types → Fields.

Department Breakdown

The department view shows asset distribution across your organization's departments. For each department you can see total assigned assets, which asset types are most prevalent, and how many employees are in that department. This makes it straightforward to compare equipment allocation across teams.

Assignment History

The assignment timeline shows how many asset assignments and returns happened over the selected period — useful for understanding inventory churn or identifying when equipment leaves circulation. You can filter by asset type, department, or date range to narrow the view.

Exporting Statistics

Any view in the Statistics dashboard can be exported to CSV or JSON from the toolbar. If your workspace is connected to Google Sheets or Notion, you can push a statistics snapshot directly to those platforms using the same export flow available in Reports. See the Google Sheets and Notion integration docs for setup details.

Availability

Statistics is available in both Cloud mode and Local mode. In Local mode, all calculations run on your device — no data is sent anywhere. In Cloud mode, the data is pulled from your synced workspace. There is no separate configuration step to enable Statistics; it is on by default for all workspaces.
